Job Opportunity: Grants & Contracts Assistant

ExpandED Schools works to ensure that all kids, from every zip code, have opportunities to discover their talents and develop their full potential. So we give kids more hours in the school day, bring more role models into the classroom, and infuse their learning with the arts, STEM, sports and character-building activities. In our first decade, we created the nation’s first citywide system of K-12 after-school programs and leveraged more than four dollars in private and public spending for every dollar of our founding grant. Today, we continue to reimagine learning time – in school, after school and during the summer – seeking to ensure that all kids have opportunities to discover their talents and develop their full potential. We develop scalable and sustainable models that provide more learning time. We:

  • EXPAND the school day: Adding 2.5 hours each day; closing the learning gap by 450 hours/school year.
  • ENGAGE the community: Bringing additional role models – tutors, coaches, college students and teaching artists – into the classroom.
  • ENHANCE the learning: Balancing the curriculum with the arts, sports, STEM and character-building enrichments.

Position Summary: The Grants & Contracts Assistant assists the Grants and Contracts department in monitoring, reviewing and documenting how ExpandED Schools’ grantees spend their award monies and comply with their program funding requirements.

Duties & Responsibilities:   

  • Review and approve grantee program budgets, budget modifications and expense reports in collaboration with Program Managers
  • Assist the Grants Coordinator in any administrative duties including but not limited to creation of workbooks and expense reports using excel.
  • Process payment request forms and attach supplementary documents submitted by program officer’s grantee payments
  • Collaborate with the Grants Coordinator in tracking budgets, expense report and budget modifications
  • Assist the Grants Coordinator in the collection of subcontracts and supporting documentation
  • Work with the Grants Coordinator in conducting annual on-site and desk compliance reviews of grantees including fieldwork as well as the preparation of pre/post-visit reports.
  • Analyze financial statements and record financial findings of grantees
  • Respond to Audit confirmation letters from grantees’ auditors
  • Work with the Grants Coordinator in the maintenance of grantee files with latest budgets, expenses, payment requests, wire confirmations and any other documents pertinent to ensure accurate financial reports
  • Additional administrative work within the department and Finance Division, as required


  • Bachelor’s degree and relevant experience or coursework in accounting or bookkeeping preferred; current students may apply
  • Experience in finance or grants management is not a prerequisite; however, candidates must possess an interest and willingness to learn new skills/take on additional responsibilities with time
  • Expertise in Word, Excel and Outlook desired
  • Ability to manage multiple projects in a fast-paced environment, prioritize and meet deadlines.
  • Sound analytical aptitude with astute attention to detail
  • Desire to work independently and collaboratively in a mission-driven organization.
